Visits are reported on by facility or individual stations within a facility. Visitor data can be retained or archived anonymously.
While some organizations have ways to communicate with visitors that are on site, most do not have the ability to communicate with visitors quickly using their mass notification software. For example, if there is a fire at headquarters you quickly alert staff, but most organizations would not be able to quickly communicate with visitors, leaving them at higher risk. With Castatus, the process is streamlined by temporarily adding visitors to your emergency communications to staff. Visitors can communicate their safety status, and you can react quickly and efficiently to them.
The Castatus Visitor Manager allows receptionists to check in visitors, or visitors may check themselves in. Using the self-check-in feature, visitors can register themselves at a kiosk. If visitors prefer not to touch the kiosk, they can scan a QR code on the kiosk to register themselves on their own mobile device.
During the check-in process, visitors can select the staff member they are planning to visit. To find a staff member, start typing the first or last name of the staff member and a filtered list of staff members will be displayed. You may limit the staff members that are visible at each check-in station.
Optionally have visitors capture a photo of themselves to help identify them during their visit. The visitor’s photo is also included in notifications to staff so that they can identify a visitor that they had not previously met.
If legal agreements must be signed by visitors to enter a facility, you may include them in the check-in process. NDAs, Safety Waivers and other important agreements can be easily integrated into Visitor Manager. Documents are signed electronically and stored securely. Visitors can also receive an electronic copy of their signed documents.
During the check-in process, the visitor can select the staff member they are there to visit. Upon check-in completion, the staff member will be automatically notified using channels that you select including email, text, SAFESTATUS® mobile push and/or Desktop Alerts.
It is critical to communicate with visitors during an emergency. It is also important to be able to send communications for any other reason, such as forgetting a backpack at the front desk. The ability to communicate is not just a one-way message to the visitor. Castatus Visitor Manager helps you establish two-way communication with visitors to ensure efficient communication.
With Castatus Visitor Manager, you are able to provide a convenient and efficient process for both visitors and staff. You may create an invite, sending an email to both the visitor and the host. The invite email not only helps visitors feel welcome, it also helps speed up the check-in process as there is an option to pre-register for the upcoming visit.
