Castatus Appointments is a licensable add-on to Castatus Visitor Manager. Turn it on and online booking fits seamlessly into the visitor management you already run. Since every booking funnels into the same back-end process as the rest of Visitor Manager, every visitor is subject to the same watchlist screening, the same host notifications, and the same ability to be included in an emergency by Castatus Crisis Manager.

Castatus Appointments was designed for exactly this: an enterprise-grade scheduling engine for businesses with multiple services to offer and multiple staff to help.

Define each service with its own duration, buffers, lead time, and booking horizon. Map staff to the services they provide, per location. Set working hours with an all-locations default plus per-location exceptions. Choose how staff are assigned: Round Robin or Least Busy. It's the depth an enterprise needs, without the spreadsheet.

A month calendar highlights days with availability; picking a day reveals open slots. Visitors can optionally book with a specific person.

Name, email, mobile, and optional notes. Visitors can opt in to text confirmations and reminders, with anti-bot verification built in.

A confirmation screen shows the code, date, time, location, and what to bring, plus whether the appointment is confirmed or pending approval.

Administrators have a wide range of options to make booking their own, from offering it in both English and Spanish, to how long a time slot is held while a visitor finishes, to helping locate the nearest location, and many other configurations that tune the experience to the way your organization works.

Turn on a language selector and the entire booking flow is presented in both languages. Fixed labels ship pre-translated; your own service names, descriptions, and welcome text are auto-translated, running in the background whenever you save, and only re-translating what changed. Visitors can even request a Spanish-speaking staff member, and availability filters to staff who speak Spanish.

Require approval on any service. Those bookings arrive as Pending Approval for staff to approve or decline, and the visitor is notified automatically.

Clear Lifecycle

Every appointment moves through clear statuses: Confirmed, Pending Approval, Completed, Canceled, No-Show, and Held. Canceling a confirmed appointment also clears the linked pre-registration.

Reminders & Confirmations

Branded confirmation and reminder emails with the service, date, time, location, and confirmation code. Visitors can opt in to also receive confirmations and reminders via SMS.

Availability that's always right

Open time slots are calculated from staff working hours, blackout dates, existing appointments, buffer times, minimum lead time, and booking horizon, combined with live Microsoft 365 free/busy, so an appointment never lands on top of a staff member's existing meeting.

Calendar access is read-only and set up through a guided consent process, with each staff member's connection shown as Pending, Verified, or No Access. It all respects your assignment strategy and the selected location, so what a visitor sees is genuinely bookable.
